What is bookkeeping?

 

Bookkeeping is the process of recording, organising, and maintaining financial transactions and records of a business or organisation. It involves systematically recording all financial activities, including purchases, sales, receipts, and payments, in a structured manner.

 

The primary purpose of bookkeeping is to provide an accurate and up-to-date record of a company's financial transactions. This information is essential for various purposes, such as financial reporting, tax compliance, and decision-making.

 

Bookkeeping typically involves the following tasks:

 

Recording Transactions: Every financial transaction, such as sales, purchases, and expenses, is recorded in a book called a journal or ledger. These transactions are usually categorised based on their type, such as revenue, expenses, assets, liabilities, and equity. This step helps in organising and summarising financial data.

Posting Entries: The recorded transactions are then posted or transferred to the respective accounts in the general ledger. This process ensures that all financial activities are accurately represented in the appropriate accounts.

 

Balancing Accounts: Bookkeepers periodically reconcile and balance the accounts to ensure the accuracy of the recorded transactions. This involves verifying that the debits and credits in each account match and that the books are in balance.

Financial Analysis: Bookkeeping information can be used for financial analysis and decision-making. By analysing the financial records, business owners and managers can assess profitability, track expenses, monitor cash flow, and make informed business decisions.

 

While bookkeeping focuses on the accurate recording and organisation of financial transactions, it is distinct from accounting. Accounting encompasses a broader scope, including interpreting and analysing financial data, preparing financial statements, and providing insights into the financial health of an organisation. Bookkeeping serves as the foundation for accounting processes.
